A/R Payments that use the Reference Number

If a customer makes a payment for an A/R charge, and the payment is from a name that is different from our customer's name, and the payment refers to the Reference Number on the statement rather that to the RO number, it makes it difficult to know how to post the payment.  How to find what that Reference number refers to?

  1. Click on Accounting
  2. Click on Chart of Accounts
  3. Highlight the account number you use for Receivables, Sales (12000 account by default, unless it's been changed.)
  4. Double click on the A/R account.
  5. Change the Beginning date to a prior year (in case the original charge was from earlier than this year.)
  6. Click the Find button at the bottom.
  7. Enter the Reference number the customer gave you, into the Transaction # field, and click on Save.
  8. The invoice or RO you are searching for should display and you can double click on it and choose View Invoice to see the actual RO.
