How to integrate MaxxTraxx and FordParts.com


MaxxTraxx Version 9.0 can now connect to FordParts.com for direct ordering from you local FORD Dealer!

We are proud to announce that, for the first time, Ford Motor Company has decided to enter into an integration partnership with an aftermarket automotive repair software...and they selected MaxxTraxx as their first choice!  Here is a brief set of instructions to create the integration. 

NOTE: Before you can start the integration setups, you will need to sign up at www.fordparts.com for login access AND create an Express Checkout account either on the website or by calling your local Ford dealership.  This is required for the MaxxTraxx and FORDPARTS.COM integration to work.

Step by Step instructions on how to set up FordParts.com integration with  MaxxTraxx
  1. Step 1:  Go to FordParts.com and create a USER account if you don’t currently have one.  Please write down your FordParts.com Login and Password. You must also create an "Express Checkout" account from either the FordParts.com website or by calling your local Ford dealership.  Your "Express Checkout"  must  be approved by Ford or the local dealership to continue to the next step.
  1. Step 2:  Navigate to MaxxTraxx Setups by clicking on the “Gear” icon in the upper right of the screen.
  1. Step 3:  Choose “Electronic Ordering” under the blue “General” section as seen below.


  1. Step 4:  Choose FordParts.com and open the integration setup screen.

 

  1. Step 5:  Enter the FordParts.com login credentials that you recently created or had from a previous FordParts.com account.  Click “Save” when done and then close the Setups page for the next step.

 

  1. Step 6:  Now open the “Vendors Menu” at the top of MaxxTraxx and choose “Vendor List”.  At the bottom of the list choose “Add Vendor” if this will be a new vendor that you have never entered before. If it is an existing Vendor, then choose that vendor from the list and press “Edit” or double-click on it to open the Vendor record.

 

  1. Step 7:  If you are creating a new Vendor, enter the Company Name, Vendor Code and any other pertinent information. After you have created the new Vendor record or if this vendor already exists, click on the “Catalog Tab” on the left side of the Vendor form to open the “Electronic Catalog Page”.



  1. Step 8:  Once on the Catalog page, click the “Catalog” Dropdown list and choose “Ford” and then press the “Save” button at the bottom of the form.   NOTE:  You are now done connecting MaxxTraxx to FordParts.com for online ordering.

  1. Ordering your first parts from FordParts.com

  2. Step 1:  To order your first parts from FordParts.com through MaxxTraxx, you can now go to your “Parts Orders” screen and choose “Create New Parts Order” just like you always have in the past for other vendors.

Step 2:  Choose your preferred Ford Dealer from the Vendor List.  There are two choices to view the List.  “All Vendors” and “Parts Vendors”  The first time you do this, the Ford Dealer you just created will not be in the “Parts Vendors” list.  Instead, you will have to choose the “All Vendors” radio button on the top this first time.  Once you have created your first parts order for this vendor, MaxxTraxx will recognize that it is a parts vendor and will place it in the “Parts Vendors” list from this time forward.

     


  1. Step 3:  Because MaxxTraxx wants to know which vehicle in your shop you want to order parts for, it will list all your open Repair Orders to choose the vehicle you want to create the parts order for.

  1. Step 4:  MaxxTraxx will then contact the FordParts.com site and automatically navigate directly to the catalog page for the exact Vehicle that you chose from the open Repair Orders list.  In this way, you will save valuable time not having to lookup the vehicle manually.

     



  1. Step 5:  From the FordParts.com catalog page, you can now choose the area or areas of the vehicle you want to order parts for and place them in the FordParts.com Express Checkout shopping cart. Each part you choose will increment the number of parts that you have placed in the card for this order.

     



  1. Step 6:  In the upper right corner of the FordParts.com webpage, you will see the shopping cart icon with the number of parts you have placed in it.  If you are done picking the parts you want to order, you can now click on the shopping cart or press the “View Cart” button below it.  FordParts.com will then take you to the open shopping cart that you see below.

     



  1. Step 7:  Once you have verified that it is correct, press the “Save Cart” button and your cart contents will be replicated on the MaxxTraxx Parts Order form.  The FordParts.com cost to you will be reflected on the Parts Order as well as the Suggested Retail Price.  If you have a special Parts Matrix set up for this vendor, then the Suggested Prices will be replaced with the appropriate Parts Matrix calculated price that you have set up in MaxxTraxx.


    IMPORTANT NOTE:  Just because you create a parts order in FordParts.com and MaxxTraxx, those parts will not actually get ordered until you press the “Submit” button on the MaxxTraxx Parts Order form.  In this way, you can get pricing and availability from Ford and then transfer the parts on the Parts Order to the Repair Order in order to make an accurate estimate for the customer.  Once the customer approves the parts and pricing, you can re-open the Parts Order form and press the “Submit” button and your parts will be ordered and the Ford Dealership will fulfill the order as you have requested.

     



  1. Step 8:  Once the parts list has been transferred to the MaxxTraxx Parts Order form, you can now choose to either just save it for future ordering or press the “Submit” button to process the order in the FordParts.com and dealership parts ordering system.  If you choose to just “Save” the order, you can now go to the open Repair Order that you found the parts for in MaxxTraxx and you will be alerted that parts have been ordered for that Repair Order and you can click “OK” and now open that Repair Order and choose which Labor or Labors you want to attach the parts on the Parts Order form to and choose “Add From Parts/Sublets on Order”.  The parts and prices have now been transferred to the Repair Order and are ready to be billed to the customer at your convenience. 

    IMPORTANT NOTE:  If you want to add or subtract parts from the MaxxTraxx Parts Order form that you have created, you cannot do it from the MaxxTraxx form.  Rather, you need to open the MaxxTraxx Parts Order form and choose “Show Catalog” and MaxxTraxx will take you to the FordParts.com shopping cart site.  From there you can add more parts to the cart or if you want to delete parts from the cart, press the “View Cart” option and then remove the parts from the FordParts.com shopping cart site.  Parts can only be removed from the MaxxTraxx Parts Order form for Ford parts from the FordParts.com Express Cart site.  If you make such changes, press the “Save Cart” button and the MaxxTraxx Parts Order will sync with the FordParts.com shopping cart and add or delete the parts accordingly in MaxxTraxx.
