MaxxSync for MaxxTraxx Anywhere users

MaxxTraxx Anywhere is a versatile shop management system that allows access to your business data from wherever you have internet access. Downloading reports and accounting files, or uploading pictures and documents, requires a couple of extra steps not found on our Desktop version.  

When you have MaxxTraxx Anywhere, a special folder were created on your local PC for uploading and downloading files. It is labeled "MaxxSync" and is usually found on the C: drive. 





Inside that folder are two sub-folders, "Downloads" and "Uploads". There should be only two folders in MaxxSync. 




Uploading a file to the server


To upload a document (pdf) or picture from your local PC to the cloud-based server, move the file (copy & paste, drag & drop, etc.) to the MaxxSync Uploads folder described above. 
Then in MaxxTraxx, you will have to open one of the following record types so you can associate it with the document in the Uploads folder:
- Repair Order
- Customer Master Record
- Vehicle Master Record
- Part Master Record

In this example, we'll upload a document and associate it with a repair order. The other record types are very similar. 

Open the repair order then click on the Documents box:




This opens the documents window that displays all the files (documents, pictures, or spreadsheets) associated with that repair order, customer, or vehicle.
Click on the Attach New Document box.




You will now be in a window where all the documents in MaxxSync/Uploads folder will be displayed. Select the document you want to upload, make sure it is highlighted, and click on the Upload and attach the selected file from your computer box. 



That document is now part of that record (in this case the repair order) and stored in the server. 

Downloading a report, spreadsheet, or QuickBooks export


To download files created on the cloud server, run the report of your choice then click Save as PDF or Export to Excel
In the example below we will download a report and save it as a PDF file.  




The screenshot below is for the QuickBooks export function only. 

Under the Accounting menu click on QuickBooks Export and identify the items you want to export. Click on the Export Selected Items once the export is defined. 





To retrieve the documents, navigate to the MaxxTraxx Utilities dropdown then click on MaxxSync Download box.


If you don't see the "MaxxSync Download" button, go to the cloud server, open up the mxtrxpro.ini and make sure that there is the following in the ini.  [CLOUD]
IsCloudUser=1  and make sure the BypassCreateMaxxSyncFolders=1 is not in the ini.






This will open the Download Files window. From here, find the file you are downloading, highlight it, then click on Download the selected file to your computer box. 

Please note there are three tabs for the different file types: PDF, Excel, or QuickBooks Export. 




The downloaded file will now appear in the MaxxSync/Downloads folder described earlier. You can manipulate the file from that folder just like any other file.
