The most commonly used version is QuickBooks Desktop, which runs locally on your computer. Intuit has also introduced QuickBooks Online, a cloud-based version accessed through the internet.
This guide is intended specifically for integrating MaxxTraxx with QuickBooks Desktop and ensuring both systems are configured properly for successful synchronization and transaction imports.
The setup process for QuickBooks Online is nearly identical, with one important difference:
Understanding How MaxxTraxx and QuickBooks Work Together
MaxxTraxx and QuickBooks are designed to work together by separating shop management functions from accounting functions.
What MaxxTraxx Handles
MaxxTraxx manages virtually all day-to-day shop operations, including:
- Appointment scheduling
- Repair order management
- Parts invoice management
- Inventory ordering and tracking
- Inventory adjustments
- Customer and vehicle history
- Customer charges, deposits, and payments
- Accounts receivable statements
- Customer follow-up
- Shop operational reporting
Repair Orders and Parts Sales
MaxxTraxx exports all Repair Orders and Parts Sales transactions into QuickBooks.
- Customer information is included with each exported transaction.
- No customer records are created in QuickBooks.
- Customer management remains exclusively within MaxxTraxx to prevent duplicate data.
Accounts Receivable
MaxxTraxx fully manages customer Accounts Receivable.
- Transaction totals are exported into the QuickBooks General Ledger.
- Customer information is attached to each transaction.
- Individual customer records are not created in QuickBooks.
This approach keeps QuickBooks clean while allowing MaxxTraxx to remain the primary customer management system.
Inventory Management
MaxxTraxx completely manages parts inventory details.
QuickBooks will only receive:
- Inventory disbursements
- Sales totals
- Cost of Goods Sold transactions
- Inventory Asset transactions
- Undeposited Funds entries
No individual inventory part records are exported into QuickBooks.
Inventory Adjustments
Inventory adjustments are handled entirely within MaxxTraxx.
- Adjustment history remains stored in MaxxTraxx.
- Only General Journal entries and related accounting transactions are exported into QuickBooks.
Vendor Invoices
MaxxTraxx exports all Parts Vendor invoices into QuickBooks.
This allows QuickBooks to:
- Manage vendor balances
- Process check payments
- Process vendor credit card payments
IMPORTANT: Vendor names in MaxxTraxx and QuickBooks MUST match exactly.
If vendor names are spelled differently:
- QuickBooks will automatically create duplicate vendor records.
- Transactions may post to incorrect vendors.
- Vendor management can become difficult and time-consuming to correct.
What QuickBooks Handles
QuickBooks is responsible for accounting and financial management, including:
- General Ledger accounting
- Journal entries
- Bank deposits
- Vendor payments
- Check writing
- Credit card payments
- Payroll
- Financial reporting
- Profit & Loss statements
- Balance Sheets
Integration Setup Requirements
The following setup steps MUST be completed before attempting your first export from MaxxTraxx into QuickBooks.
I. Duplicate the Chart of Accounts in Both Programs
The Chart of Accounts in MaxxTraxx and QuickBooks must match exactly.
A. Enable Account Numbers in QuickBooks
In QuickBooks Desktop:
- Go to Edit
- Select Preferences
- Choose Accounting
- Open the Company Preferences tab
- Enable Use Account Numbers

This is required because MaxxTraxx exports transactions using account numbers.
B. Determine Which Chart of Accounts to Use
You have two options:
Option 1 — Use Existing QuickBooks Accounts
If you already have an established QuickBooks company file:
- Keep your existing QuickBooks Chart of Accounts.
- Modify the MaxxTraxx Chart of Accounts to match QuickBooks.
Option 2 — Use the Default MaxxTraxx Accounts
MaxxTraxx includes a Chart of Accounts specifically designed for automotive repair shops and refined over many years of industry use.
This is generally the easiest option for:
- New shops
- New QuickBooks installations
- Shops starting from scratch
C. Modify MaxxTraxx Default Account Posting
If you modify the MaxxTraxx Chart of Accounts to match QuickBooks, you must also update the Default Account Posting settings.
Navigate To:
- Click the Gear Icon (Setups)
- Under the Red Accounting Column
- Select C Default Account Posting
Update the following categories:
- Cash and System Accounts
- R.O Sales and Cost of Goods Sold
- Accounts Payable
These settings tell MaxxTraxx where each transaction type should post in QuickBooks.
Product Code Accounts Must Match
You must also verify that Product Code account settings match QuickBooks.
Product Codes Location:
- Open Setups
- Navigate to the Yellow Product Code Section
Add or Modify Chart of Accounts
To edit the MaxxTraxx Chart of Accounts:
- Click Accounting
- Select Chart of Accounts
From there you may:
- Add GL accounts
- Edit accounts
- Delete accounts
D. Accounts Receivable Configuration
If your QuickBooks Accounts Receivable account is set as:
- Type: Accounts Receivable
then special handling is required and the type needs to be changed to:
Recommended Setup
It is strongly recommended that:
- MaxxTraxx manages customer Accounts Receivable
- QuickBooks handles only General Ledger accounting
Allowing QuickBooks to manage shop customer receivables can:
- Duplicate work
- Increase complexity
- Require maintaining customers in both systems
E. Sales Tax Setup
Sales Tax in QuickBooks MUST be configured as:

If Sales Tax is configured incorrectly, imports may fail.
II. Vendor Setup Requirements
Vendor names MUST match exactly between MaxxTraxx and QuickBooks.
This includes:
- Spelling
- Spacing
- Punctuation
- Abbreviations
Why This Matters
If vendor names differ:
- QuickBooks automatically creates duplicate vendors
- Transactions post to incorrect vendor accounts
- Cleanup becomes difficult

QuickBooks treats these as different vendors.
III. Undeposited Funds Configuration
QuickBooks requires use of the built-in:
- Undeposited Funds Account
Do NOT:

This ensures all payments received in MaxxTraxx flow correctly into QuickBooks for bank deposits.
Adding QuickBooks as the Accounting Method in MaxxTraxx
To enable QuickBooks integration:
- Open Setups
- Select Company Information
- Under Accounting Export Setups
Locate:
- Select The Accounting System Used
Choose:
Once completed:
- Export to QuickBooks will appear under the Accounting menu.
Exporting Transactions from MaxxTraxx
After setup is complete:
- Run daily business operations in MaxxTraxx
When ready:
- Click Accounting
- Select Export to QuickBooks
MaxxTraxx will generate a QuickBooks-compatible .IIF export file.
The file is saved in:
- The Export subfolder inside the MaxxTraxx directory.
Importing Into QuickBooks Desktop
To import the .IIF file into QuickBooks:
- Open QuickBooks
- Go to File
- Select Utilities
- Choose Import
- Select IIF Files
- Browse to the MaxxTraxx Export folder
- Select the appropriate
.IIF file
QuickBooks Online Integration
For QuickBooks Online users:
The remainder of the setup process is identical to QuickBooks Desktop.
