Transferring or Merging Vehicle Records

When to Use Transfer vs. Merge

Use Transfer Vehicle when:

  • A vehicle is sold to another customer in your system
  • Ownership is changing
  • You want to keep the full history with the vehicle

Use Merge Vehicle when:

  • The same vehicle was entered more than once by mistake
  • You see duplicate vehicle records for the same customer or different customers
  • You want to combine history into one correct vehicle record

Transferring a Vehicle to Another Customer

There may be times when a customer sells their vehicle to another existing customer in your system. In this case, you can transfer the vehicle record to the new owner.

Warning
Do not transfer if there is an open Repair Order on the vehicle.

What gets transferred:

  • Vehicle record
  • Service history
  • Scheduled marketing letters

Steps:

  1. Select Customer from the toolbar, then choose Customer List.
  2. Locate and open the customer who currently has the vehicle assigned (double-click or click Edit).
  3. In the customer record, right-click on the vehicle.
  4. Select Transfer Vehicle.
  5. When prompted, click Yes to confirm the vehicle being transferred.
  6. The Select Customer window will open.
  7. Choose the customer who will receive the vehicle and click Select.
  8. Click Yes to confirm the transfer of the vehicle record, history, and marketing letters to the selected customer.

Merging Duplicate Vehicle Records


If a vehicle has been entered more than once in the system, you can merge the duplicate records into a single vehicle record.

WarningImportant: This process cannot be undone.

What happens during a merge:

  • All history from the source vehicle is moved to the destination vehicle
  • The duplicate (source) vehicle record is removed from the system

Steps:

  1. Open the customer record that contains the vehicle you want to merge.
  2. Right-click on the vehicle.
